Completing pre-qualification questionnaires (PQQs) for multiple clients is becoming time-consuming and costly. A PQQ is not simply a box ticking exercise to get your company to the next stage of the tender procedure. It is a demonstration of competence and should be viewed as a marketing tool to showcase your company and to prove that you have the capability to provide the service that the client is looking for.
Different clients’ PQQs will usually contain some similar questions, presented in a different format. We will hold a copy of all of the previous submissions that we complete on you behalf to enable a library of company information to be compiled. This will make completing subsequent PQQ's quicker with less input required by our client's and, therefore, more cost effective.
With more and more public sector clients adopting the PAS 91 standard form of PQQ this approach will become even more cost effective as we can hone and fine tune each response in line with the client's requirements
Gone are the days when clients awarded contracts based solely on the lowest acceptable tender price. With the majority of public sector clients now weighting the 'Quality' submission as high a 45% it is vitally important that, not only do contractors convey their ability to deliver services but are actually set up in a way that they can fulfil the requirements of the contract.
It is not uncommon for the Quality Submission for a medium sized public sector contract to have a 40,000 word page limit. This equates to approximately 80 pages of meaningful company information that a buyer will read, evaluate and score. Regardless of pricing documents and schedules, if the quality submission is poor even the best price will not secure the contract.

DOCUMENT REVIEW

There is a golden rule that should never be broken. Regardless of where you mention a specific document, e.g. a tender return or an accreditation application, make sure that you have a copy and that it is up to date and relevant to your business.
It is all too tempting to to tick a box in a PQQ and hope that you never get asked to produce a specific policy or procedure. We will work with you to determine the legislation that applies to your sector and help you build a library of relevant documents. We will look at your current policies and procedures documents, review and amend them and issue controlled copies back into the organisation.
In reality, having having a full set of up to date business specific documents, will not only mean that you don't need to worry about ticking the 'Yes' box but, if worked with, may improve the running of your business leading to more work or more time to evaluate the work that you already have.
PROOF READING

It is quite common for companies to produce their own PPQ returns and Tender documentation only to be scored down for not properly answering the question being asked, making reference to out of date legislation, cutting and pasting from a previous submission and including the wrong client name. The list goes on and we have seen it all.
